Understanding Your Holiday Calculator

This article will guide you on how the HRoes system calculates holiday for your employees, in both days and hours.

Our HR software includes a powerful holiday calculator designed to make managing holiday entitlements easy and accurate. Here's how it works:

Key Principles

1. Full-Time Holiday Entitlement

  • Standard Entitlement: Full-time employees are entitled to 5.6 weeks of holiday per year. For someone working 5 days a week, this equals 28 days, including bank holidays.
  • Bank Holidays: Typically, there are 8 bank holidays a year, but this can vary. Our system allows you to adjust for changes in bank holidays.

2. Additional Days

  • Some companies offer extra holiday days. Our system can accommodate these additional entitlements seamlessly.

3. Accrual of Holiday Entitlement

  • As employees work, they accrue holiday entitlement. Each day worked contributes to their total entitlement.
  • Rounding Up: If an entitlement calculation results in a decimal, our system rounds up to the nearest half-day. For example, 7.23 days would be rounded up to 7.5 days to ensure compliance with employment laws.

4. Hourly Workers

  • Variable Hours: For employees with inconsistent working hours, holiday entitlement is accrued at a rate of 12.07% of the hours worked.
  • Consistent Hours: If an employee works the same hours each week, their holiday entitlement is calculated based on their weekly hours. For instance, someone working 20 hours a week would get 20 x 5.6 = 112 hours of holiday per year.

5. Part-Time Workers

  • Part-time workers accrue holiday based on their weekly working days. For example, someone working 3 days a week gets 3 x 5.6 = 16.8 days of holiday per year.

6. Bank Holidays and Company Days

  • Our system can pro-rate bank holidays and additional company holidays. Whether your company treats all holidays as a single pool or separates them, our calculator handles it efficiently.

7. Starting or Leaving Mid-Year

  • Employees who start or leave mid-year will have their holiday entitlement adjusted accordingly. For instance, if an employee works for 6 months, their entitlement is halved.
  • The 12.07% calculation for variable hours adjusts automatically based on the actual hours worked.
